**1-2 Days Onsite at our Duarte, CA Campus**

Position Summary
The Associate Project Manager will support the Sr. Project/Program Manager/Managers(s) in the development and implementation of strategic initiatives in support of City of Hope’s enterprise support operations. This is a highly visible role with significant areas of responsibility.

Strategic Project Management
The position will partner with the Manager, Employee Development & Service Recovery and other department leads to identify and prioritize strategic projects to be undertaken each quarter. This position will:

  • Monitor the project management of strategic, operational, and tactical initiatives while supporting the service integration initiatives for Value Realization Programs across all projects
  • Ensure continuous focus on process improvement opportunities as well as exploration of economies of scale from inception to implementation of project’s under guidance of Project Manager/Manger
  • Assist in creation and tracking of project plans, timelines, key outputs/metrics, and budgets
  • Manage daily tasks associated with implementation of initiatives or project-related action items
  • Establish routine reporting and templates to be used across division in coordination with department members to ensure standard templates and department output
  • Coordinate project trackers, monitor event spreadsheets and dashboards, schedule project and department team meetings, and create/disseminate agendas as well as meeting minutes/action items

This position provides project coordination and management assistance for enterprise activations, disruption planning, and departmental projects. Employee plays an integral role in supporting and creating project documentation and standard work manuals.
The position will be responsible for reporting the operational performance of assigned programs by the Senior Manager of Support Operations. This position will:

  • Monitor and assess metrics on an ongoing as well as longitudinal basis
  • Monitor plans to achieve specified targets in regional hubs as well as the community network support operations
  • Routinely report on performance to division leadership while providing data and information to other department members for all-encompassing division assessment
  • Maintain the budget, timeline, dashboards, and project tracking through implementation per direction of Project Managers/Manager
  • Maintain contracts and other key documents as applicable
  • Assist with meeting preparation, key deliverables, and customer relations

Provides active follow-up of critical action items and follow through of key tasks under the guidance of the Project Manager/Manager and in collaboration will all department staff

Key Responsibilities include:

  • Supports development and maintenance of project dashboards, reports, and status as well as execution against those activities
  • Coordinates ordering supplies and services
  • Manages project documentation and expenses with Project Manager/Manager oversight
  • Works with Project Manager/Manager in coordinating and facilitating operational activities including development of workflows, processes, and procedures
  • Conducts research, assessments, and deck development for activation projects with guidance from Project Manager/Manager
  • Manages and facilitates department-related contracts/agreements
  • Project and time management:
  • Effectively and efficiently manages multiple activation-related projects, disruption planning efforts, and other critical business development related projects
  • Manages time so that daily, weekly, monthly duties are completed on time and demonstrate flexibility by changing tasks as needed to achieve shifting priorities
  • Takes an orderly and efficient approach to tasks, setting priorities, and handling several situations at once
  • Resolves routine and some complex inquiries and fulfills requests from internal and external business contacts using knowledge of division/department organizational policies and procedures
  • Participates in the process of identification and implementation of cost savings opportunities, measure contract performance, and assess the value of new or existing contracts in conjunction with Project Manager/Manager
  • Assists in disruption planning and coordination of on campus support for special operational projects including but not limited to: BMT Picnic, Walk for Hope, construction impacts, relocations, etc. through coordination with ESS/EM for the City of Hope by coordinating with internal constituents, contracted project managers, and contractors
  • Provides assistance in department orientation/training of new employees
  • Drives the identification of “people”, “process” and “system” (not IT systems) capabilities required to move the initiatives forward under the direction of the Project Manager/Manager
  • Plays a central role in affecting the operations/business change readiness for the aligned initiatives with the on-campus stakeholders
  • Provides effective and objective escalation to ESS (Ent Spprt Srvcs) Project Manager/Manager of key concerns, issues related to the performance of stakeholders, partners, and other project-related parties
  • Works with department leadership to create reporting/status materials for pre-defined leadership and executive leadership updates and briefings
  • Develops sufficient level of understanding of all initiatives within the assigned portfolio that are within that portfolio and develop with assistance from Project Manager/Manager a strong broad/horizontal communication pattern across portfolios to tie in dependencies and synergies among initiatives and projects
  • Evaluates quantitative data and qualitative findings to conduct structured portfolio reviews
  • Conducts weekly/monthly reviews with Project Managers/Manager for project performance within portfolio (milestones, deliverables, etc.) and communicates project status while ensuring communication between all parties involved in the aligned initiative
  • Participates in team building to establish a lean culture/mentality of excellence with industry best practices
  • Actively contributes to the department roadmap discussions, takes ownership of deliverables towards the division’s overall objectives
  • Takes ownership of segments of division monthly meetings and other activities to promote lean culture of excellence within the full scope of the division’s footprint in coordination with Project Manager/Manager
  • Actively participates in optimization and support of division’s operations processes and goals
  • Performs other related duties as assigned or requested.

Basic education, experience and skills required for consideration:

  • Bachelors in similar field (preferably healthcare administration, business, or public health)
  • Experience may substitute for minimum education requirements.
  • 1 + year related experience

Preferred education experience and skills:

  • Masters in similar field (preferably healthcare administration, business, or public health)
  • Project Management Professional Certification
  • Lean or Six Sigma Black Belt
  • Experience in running small projects/programs or with influence over a larger project/program
  • Superior project management, interpersonal, communication, and presentation skills. Demonstrated effective experience in working and partnering with executives and key leaders and project stakeholders
  • Strong organizational skills to effectively manage multiple projects from inception to completion, adhering to deadlines, completing within budget, producing at required quality, and meeting desired outcomes/metrics.
  • Proven experience creating and delivering clear/concise communications and an ability to speak and document in a summarized fashion.
  • Past consulting background is recommended and viewed as an important success criterion.
  • Demonstrated skill in establishing and maintaining effective working relationships with executives and other key stakeholders.
  • Superior project management, interpersonal, communication, and presentation skills.
  • Employs tact and discretion. is motivated, self-directed, confident, and a self-starter.
  • PowerPoint, MS Project, PPM System usage, MS Office expert usage, Reporting/dashboarding skills to mine and summarize project data for executives.
