Job Description

Job Summary:
The Assistant to the Dean is responsible for facilitating College of Science and Engineering objectives by coordinating high-level administrative affairs, faculty processes, personnel support, and programs (including operational, faculty affairs, and programmatic activities).

Duties & Essential Job Functions:
1. Oversees office operations within the Dean’s office by supporting department chairs and leadership staff, supervising other administrative staff members, assisting with finance projects as needed, and coordinating various administrative functions.
2. Coordinates all aspects of faculty Promotion and Tenure (P&T) and Green Chair processes for the College, ensuring all deadlines are met, proper documentation is kept, procedures are followed and accurate data is submitted for review.
3. Maintains up to date faculty records and oversees a variety of annual processes such as hiring, performance reviews, and award nominations.
4. Manages school operations and administrative functions by planning and implementing office systems, layouts, equipment procurement, and computing and facilities maintenance.
5. Completes special projects by organizing and coordinating information and requirements for program assessment and evaluations; planning, arranging, and meeting schedules; and maintaining responsibility for implementing results of these activities.
6. Provides coordination and assistance to the Dean through calendar maintenance, travel arrangements, meeting agendas, assistance with special projects, and completion of deliverables needed for the Provost Office or other leadership as assigned.
7. Provides other general staff and office support for the dean, to include screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries, as appropriate; serves as a primary point of contact and liaison between the office, students, and external constituencies on a range of day-to-day issues.
8. In collaboration with other administrative staff, serves as a backup building manager for College of Science and Engineering buildings.
9. Performs other related duties as assigned.

Required Education & Experience:
• Bachelor’s degree and 3 years’ experience with higher education administration or academic programming.
OR
• High School Diploma or GED equivalent and 7 years of experience in higher education administration or academic programming.
